Bachelor's degree (foreign equivalent or higher). Two (2) years of full-time finance and/or budgeting experience (student experience will be considered). Advanced Excel skills (e.g. advanced formulas and pivot tables). Preferred Qualifications:
Bachelor's degree (foreign equivalent or higher) in Business Administration, Accounting, Higher Education Administration or other related field. Proficiency with PeopleSoft, Oracle, Microsoft, Wolfmart and/or Tableau.Brief Description of Duties:
Reporting directly to the Director of Residential Business Operations, the Budget Coordinator is responsible for transactions related to the financial operations of Campus Residences. Specifically, the incumbent will oversee all departmental accounts, completing transactions as necessary and maintaining compliance with relevant policies/procedures.
The Budget Coordinator will record resource commitments to/from the departmental units, ensuring that resources are received in a timely manner, adjusting as necessary as well as work with other staff to review, analyze, monitor, and report on the financial health of Campus Residences. Qualified candidates must have a strong work ethic and the desire to help others. In addition, the selected applicant must have strong qualitative and analytical skills as evidenced by a deep understanding of budgeting practices. Experience with, knowledge of, and understanding of higher education institutions and operations is preferred as is having an extensive understanding of the financial rules and regulations of the University's funding sources.The successful incumbent will have excellent customer service and interpersonal skills, exercising strong organizational and time-management skills with an exceptional attention to detail. Essential for this role is the adeptness to work independently as well as part of a team with a collaborative approach to problem solving. With core values of integrity, innovation, and compassion as a foundation, the ability to build consensus collaboratively and transparently on direction and approach will be key to achieving success. Moreover, demonstration of trust, compliance with policy, regulation, and laws are core requirements for the position.

  • Budget and Forecasting Administration:
    • Assist with monitoring, updating, and reconciling the various databases utilized by the University throughout the year to coordinate the resources within Campus Residences, elevating any highly complex issues to the Director. Run SUNY DIFR monthly reports and advise the Director of any anomalies or deficiencies. Maintain Contract Status monitor reports on a quarterly basis. Interface with the other financial systems on campus and in SUNY. Analyze various data repositories, ensure validity, and troubleshoot discrepancies. Coordinate activity relating to allocation requests, expenditure transfers, etc. Prepare trend reports and forecast activity as requested. Review free balances in all operating accounts and advise the Director of potential issues. Assist the Director with maintaining necessary internal controls, conducting reviews in an effort to ensure the financial goals of the University are achieved. Run Capital Construction reports on a weekly basis and reconcile them to MP2 monthly reports. Assist in maintaining Campus Residences Budget Manual for each fiscal year.
  • Liaison:
    • Serve as a liaison to units within the Campus Residences area, assisting with budgetary concerns. Establish Residential Education budget for the coming year with the Directors every spring. Create and/or maintain partnerships within the Campus Residence area and across the University as an integral part of the Campus Residences' budget team.
  • Professional Development and Committee Involvement:
    • Participate in opportunities that promote your learning, growth, and development (i.e. classes, training, committee, webinar, etc.). Contribute to the Division of Student Affairs and Stony Brook University by attending and/or supporting events, activities, and programs sponsored by areas outside of your individual unit/department (i.e. campus wide traditions, events, programs, etc.). Other duties as assigned. Evening and weekend work may be required at times.

Special Notes:
This is a full-time appointment. FLSA Non-Exempt position, eligible for the overtime provisions of the FLSA. In addition to the employee's base salary, this position is eligible for $3,087 UUP annual location pay, paid biweekly.Essential Position: This has been designated as an essential position based on the duties of the job and the functions performed.
