Description

We are presenting a contract-to-hire opportunity for an Administrative Coordinator in the construction sector, focusing on dispatching. Located in Riverside, California, this role encompasses a range of responsibilities, including administrative support, customer service, and data entry. Responsibilities:

• Ensure efficient operations by providing administrative support to the team.

• Manage confidential clerical tasks with utmost privacy and discretion.

• Maintain professional and courteous interactions with customers, vendors, and staff.

• Support vehicle registrations, licensing, and compliance with DMV regulations.

• Oversee the fuel tracking system and report on employee usage.

• Supervise rental equipment operations, including job allocation for daily costing.

• Facilitate equipment rentals and manage inventory to ensure item availability.

• Handle purchase orders for shop supplies and equipment rentals, ensuring prompt and precise execution.

• Contribute to other areas as needed and engage in special projects to achieve team objectives.

• Employ Microsoft Excel, Microsoft Word, and other software for task execution and record-keeping.

Skills:

• Proficient in Microsoft Excel and Microsoft Office Suites.

• Experienced in data entry and customer service.

• Competent in managing tasks within a management system.

• Adept in using Pivot Tables and VLOOKUP functions in Excel.

• Skilled in correspondence and communication.

Requirements • Minimum of 2 years of experience as an Administrative Coordinator or similar role in the construction/contractor industry

• Proficiency in Microsoft Office Suites, including Excel, Word, and Outlook

• Demonstrable skills in using 'About Time' management system

• Experience with 'Pivot Table' and 'VLOOKUP' functions in Excel

• Excellent customer service and correspondence skills

• Proven ability to manage C-Suite level administrative tasks

• Proficient in data entry with excellent attention to detail

• Strong organizational and time management skills

• Effective communication skills, both written and verbal

• Ability to work autonomously and as part of a team

• High level of professionalism and integrity

• Ability to handle confidential information with discretion.
